Coordinator of Athletic Life
Full-time, Permanent position
Your Commitment: Full-time position that works throughout the year in a school setting. Permanent.
Based on a 35-hour work week – Regular hours are Monday to Friday, 8:30 a.m. to 4:30 p.m., but are subject to change as required for events and competitions over the academic year.
Flexibility to work evenings and weekends as needed and arranged in advance.
Work Location: Role is on-site at the school on Bathurst St. and St. Clair Ave. W. in Toronto, unless an event or competition dictates otherwise.
Salary Range: Commensurate with experience: $70,000 and $80,000.
Compensation: Remuneration includes a comprehensive benefits and vacation package and access to participate in the organization’s defined contribution pension programme.
Position Available:
The Coordinator of Athletic Life supports the daily operational excellence of the Athletics Programme, with accountability for scheduling, logistics, travel coordination, financial processing, coach support, and day-to-day administration. The role ensures efficient execution of athletic programming and continuity across the full calendar year.
Responsibilities include:
- Support the Director of Athletics in the planning and delivery of interscholastic and intramural programmes.
- Maintain and update athletic schedules, facility use plans and communicate via school digital communication platforms as required. Communicate scheduling changes and facility usage updates with faculty and staff.
- As needed, support day-to-day operations, including coach fill-in for absences and team supervision. This may include driving school vans to transport students and/or equipment to competitions.
- Coordinate day travel to games, including ground transportation and meals, with the main office team.
- Organize logistics for tournaments and competitions, ensuring student safety and operational efficiency.
- Support Director of Athletics and coaches with development of team budgets and, where applicable, determining cost recovery applicable to student-athletes/families.
- Review and coordinate approval of invoices and expense reimbursement requests.
- Reconcile the athletics purchasing card
- Coordinate payroll inputs for community coaches and referees.
- Assist with recruitment, onboarding, and support of community coaches.
- Coordinate scheduling and payment of referees and student scorekeepers.
- Track attendance, certifications, and training requirements.
- Coordinate with Mporium (school store) staff on team uniform orders with approved vendors.
- Manage equipment ordering, inventory tracking, and maintenance processes.
- Coordinate intramural programming.
- Support student engagement initiatives, including scorekeeping and leadership opportunities.
- Communicate planned student absences with the attendance office.
- Process permission forms and parent/student contracts.
- Support athletics-related initiatives such as yearbook photo coordination and participant verification.
- Maintain administrative systems such as CampBrain (administrator access).
- Support logistics and schedules for summer camps.
- Support implementation of annual athletics plans established by Senior Leadership.
- Support coordination of annual Athletic Banquet, including trophy ordering, media management, and assistance during the banquet.
What you bring to the role:
- Post‑secondary education in sport administration, recreation, sport management, or a related field.
- Experience supporting athletic programmes or complex operational environments.
- Coaching experience and good understanding of a variety of sports in a secondary school environment.
- Experience working with youth is an asset.
- Strong coordination, communication, and organizational skills.
- High attention to detail and comfort working across multiple priorities year‑
- Collaborative approach and ability to work effectively with students, coaches, and stakeholders.
- Strong Office 365 skills – Word, Excel, PowerPoint
- Experience with scheduling software, like Artifax, and/or customer-facing software such as CampBrain, online document programmes like Docusign, video broadcasting/analysis software like HUDL, are assets.
- Possess a valid Ontario ‘G’ license
- Willing to attain an Ontario ‘E’ license in order to operate school vans
- Possess First Aid and AED valid certificates
