We are Canada’s only Catholic, Basilian, faith-based independent school. We educate young men from Grades 7 to 12 in a university-preparatory programme. Position Available:

The Advancement Officer is key to the ongoing engagement of the school’s alumni with St. Michael’s College School’s activities and programmes. 

By promoting a spirit of Affinity, Legacy, and Loyalty (ALL) to the SMCS community, the Advancement Officer engages with the alumni community and their families, strengthening and building lifelong ties to SMCS. This position is responsible for knowing our alumni and working to support the development of alumni relations and related events to foster strong and healthy relationships with the school. This role envisions each alumnus to give his ALL to SMCS. 

The Advancement Officer promotes and assists in organizing events such as annual class reunions, Homecoming, Turkey Roll & Reunion, Alumni Information Series, along with supporting mentorship, merchandise, and incentives programmes. This role is an integral contributor to the Advancement Department.

Other internal contacts: All members of the St. Michael’s College School community.
External contacts: Alumni, Alumni Association, parents, students, volunteers, various businesses and suppliers, and the Basilian Fathers
Hours of Employment:   Based on a 35-hour work week – Monday to Friday, 8 a.m. to 4 p.m. This position works on-site at the school.
Flexibility to work evenings and weekends as needed and arranged in advance.

Rate of Pay: Salary is commensurate with experience. Remuneration includes a comprehensive benefits package and access to participate in the organization’s defined contribution pension programme.

Responsibilities include:

Alumni Relations

  • Responds to inquiries from alumni and facilitates connections.
  • Acts as the President’s designate on the SMCS Alumni Association.
  • Provides strategic support to the Alumni Association to help them create and build new connections with fellow alumni (e.g. identifying possible class representatives, suggesting alumni chapters, supporting Association events, etc.).
  • Serves as the key liaison with the Alumni Executive and provides administrative support (such as arranging and attending meetings, responding to member requests, and providing reports and minutes) and preparation of materials for alumni meetings.
  • Coordinates and liaises with the Community Engagement and Learning Lead to cultivate opportunities for alumni engagement within the classroom.
  • Engages in the ongoing development of a strong volunteer base to support the coordination of alumni activities and initiatives.
  • Communicating with alumni regarding the benefits and services offered by the Association, opportunities to stay engaged with the growth, and progress of the school.
  • Works diligently to ensure constant and consistent improvement of alumni information and reactivating alumni relationships with SMCS where there has been a lapse in contact or other reason.
  • Ensure incentive/discount partners and associated benefits are captured and promoted appropriately.
  • Ensure alumni information/activity is maintained in Blackbaud’s Raiser’s Edge.
  • Provide regular reports to the Director.  
  • Creating editorial content for the Blue Banner alumni magazine, The Tradition alumni newsletter, and alumni web stories.
  • Seeks ways to enhance communication and engagement with alumni including the use of social media, newsletters, events, surveys, etc.

Alumni Events

  • In conjunction with the Director of Advancement and the Alumni Association executive, develops an annual plan outlining the goals and objectives of alumni relations programme to support the development and coordination of alumni engagement opportunities with SMCS.
  • With the assistance of the Alumni Association Event Coordinator and Director of Advancement, develop meaningful events that engage alumni and other constituents such as reunions, Annual Golf Tournament, Homecoming, and Turkey Roll & Reunion.
  • Key liaison for the Alumni Association’s Archangel’s Den Alumni Entrepreneur Competition.
  • Specific duties include working with volunteers, arranging and producing communications, accepting RSVPs, arranging details such as locations, travel, catering, and financing and producing event reports and summaries. 
  • Assists with the identification and recruitment of alumni as potential speakers, mentors, and volunteers.
  • Utilizes the Volunteer Management module in Blackbaud.


  • Responsible for the ongoing input of constituent data in collaboration with the Advancement Team.
  • Uses Blackbaud to run reports to better understand alumni needs on an as needed basis.
  • Actively assists with SMCS signature event planning, together with other department members and volunteer committees. Acts as lead for all alumni events and will assist with the school’s signature events.
  • Supervises the ‘Events for SMCS’ third-party programme (i.e. Enzo Montemurro Touch Football Tournament, and the Evans Tannis Soccer Tournament).
  • Assists in securing sponsorship for events and cultivating relationships with sponsors. Ensures the timely acknowledgement and recognition of SMCS event sponsors and donors on print, online, and on-site signage.

What you bring to this role:

  • A commitment to the vocation of Catholic education as it is embodied in the tradition of the Basilian Fathers and the mission and vision of St. Michael’s College School
  • Completion of a post-secondary degree/diploma in a relevant field combined with 2-3 years of experience
  • Confidentiality, working with personal data
  • Excellent written and verbal communication skills
  • Demonstrated ability to work independently, including researching to make recommendations, and experience working as part of a team
  • Excellent organizational skills with a high level of attention to detail
  • Ability to work under pressure and to organize, prioritize, work with interruptions, deal with several tasks simultaneously, and meet deadlines
  • Proficient in Microsoft Office and Blackbaud (RENXT, RE, OLX, BBNC, BBMS)
  • Experience in event management and volunteers with the ability to work flexible hours, some evenings and weekends as required
  • Experience with and knowledge of St. Michael’s College School is an asset
